Schedule and host a webinar

Schedule a broadcast, share the audience link and manage raised hands and invited speakers.

Before you start

Subscription companies need the Webinars add-on, selected by the owner in Billing. A workspace owner creates the webinar and assigns a verified workspace member as host. The assigned host signs in to broadcast; audience members do not need accounts.

1. Schedule the webinar

  1. Open your workspace Overview. In Meet now, select Host webinar.
  2. Add a Webinar title if needed, choose the Meeting host and set the Duration.
  3. Choose a future Start date and time and check Webinar timezone. The timezone initially comes from your device; attendees see the start time in their own timezone.
  4. Set Audience capacity within your company’s allowance. Email invitations are optional. If you want a calendar event, select Add a calendar event and use a host with a suitable connected calendar.
  5. Check the details and choose Create webinar.

2. Share the audience link

Open Manage webinar from Overview and choose Copy audience link. Send that same short link to your audience. Anyone with it can join at the scheduled time, up to the audience capacity, without an account or individual host approval.

Early visitors see the local start time and a countdown. If they keep the page open, they join automatically when the start time arrives. If the host is not broadcasting yet, they see a waiting message. Their browser may require them to choose Enable webinar sound.

3. Start broadcasting

At the scheduled start, the assigned host opens the host link and signs in if asked. Check your camera and microphone, then start the webinar. Use screen sharing to show a presentation, document or browser window, and use chat to talk with attendees.

Attendees join with their cameras and microphones off. Their cameras stay off when they are invited to speak.

A warning appears in the host’s view when ten minutes remain, and the countdown continues until the scheduled end. Starting late does not extend the end time.

4. Manage raised hands and speakers

  • Attendees can raise a hand and include a short question. Open Raised hands to see requests in order. The badge shows how many requests are waiting.
  • Choose Invite [name] to speak for the attendee you want to hear. They must accept and allow microphone access before speaking. Only one audience member can be invited or speaking at a time.
  • Return the speaker to the audience when finished. Attendees can also decline an invitation or finish speaking themselves.
  • Pause new hand requests or dismiss a request when needed. Optional Hand alerts play a sound for new requests.
  • Where your browser supports it, Floating host controls keep the queue and time warning in a separate window while you present. Otherwise, keep the webinar tab visible to follow raised hands.

Delete a webinar

Deletion removes it from Overview, disables its joining links and ends any active broadcast. A linked calendar event is cancelled, and people invited by email receive a cancellation. People who only received a forwarded audience link are not on the email invitation list.

  1. On Overview, open Manage webinar for the webinar you want to remove.
  2. Choose Delete webinar and confirm the deletion.

Check your company’s allowance

The creation form checks the company allowance for the UTC calendar month of the scheduled start. It is shared across staff, rather than renewed for each host. The host does not count towards the audience capacity.

Creating a webinar reserves its allowance. Deletion, an early ending or fewer attendees does not return it. Monthly allowances do not roll over, including with yearly billing. There are no automatic paid overages. See the Webinars add-on allowance and add-on pricing.
