Workspace setup

Invite colleagues and set up team bookings

Invite staff, choose their workspace roles and set up one-host, round-robin or collective meetings.

Before you start

You must be a workspace owner or administrator to invite staff. Your plan limits how many hosts you can add.

On this page

1. Invite a colleague

  1. Open Team and find Invite a colleague.
  2. Enter Colleague’s email and choose a Workspace role.
  3. Choose Send invitation. Your colleague opens the link in the email, verifies their account and accepts the workspace invitation.

2. Choose the right role

  • Staff host: hosts appointments and manages their own calendar connection. This role has fewer workspace management controls.
  • Administrator: helps manage the workspace and its team. Only the workspace owner can invite an administrator.
  • Workspace owner: manages owner-only tasks such as Billing. Inviting a colleague does not transfer ownership.

3. Choose how bookings are assigned

Open a meeting type and use Host assignment. Choose the option that matches the appointment:

  • One host: an appointment with one particular host.
  • One available host: round-robin bookings across selected staff. Choose who can host; each booking goes to one available person.
  • All selected staff: collective bookings when all required colleagues are free. Select the required staff; the first selected person leads the call.

If a colleague or time is missing

  • Check the invitation was sent to the correct email address and has been accepted.
  • Check the colleague has connected and selected a calendar that allows bookings.
  • For collective meetings, check every required person is free and the participant limit leaves room for the customer.
  • Check how many hosts the Team plan includes if you need more staff hosts.
